Safari Soar Booking Terms and Conditions

These terms and conditions apply to all bookings made with Safari Soar for Tanzania safari tours and related services.

1. Booking and Payment Terms

1.1 Booking Confirmation

A booking is confirmed only when Safari Soar receives a signed booking form and the required deposit. We recommend booking at least 90 days prior to departure to ensure availability of preferred accommodations.

1.2 Payment Schedule

  • 30% deposit required to confirm booking
  • 70% final payment due 60 days before departure
  • Full payment required for bookings made within 60 days of departure
  • All payments must be made in US Dollars or Euros

1.3 Payment Methods

We accept bank transfers, credit cards (Visa, MasterCard), and PayPal. A 3% processing fee applies to credit card payments.

2. Cancellation and Refund Policy

2.1 Cancellation by Client

Cancellation fees based on notice period:

  • More than 90 days: 10% of total cost
  • 61-90 days: 25% of total cost
  • 31-60 days: 50% of total cost
  • 15-30 days: 75% of total cost
  • Less than 15 days: 100% of total cost (no refund)

2.2 Cancellation by Safari Soar

In the unlikely event we must cancel your safari due to circumstances beyond our control (force majeure, government restrictions, etc.), we will offer a full refund or reschedule your trip at no additional cost.

3. Travel Requirements and Documentation

3.1 Client Responsibilities

  • Valid passport with at least 6 months validity from return date
  • Appropriate visa for Tanzania (we provide guidance but clients are responsible for obtaining)
  • Required vaccinations and health certificates
  • Comprehensive travel insurance (mandatory for all clients)
  • Arrival and departure flight details provided at least 30 days before travel

3.2 Health and Safety

Clients must disclose any medical conditions, dietary requirements, or physical limitations that may affect their safari experience. We reserve the right to refuse service if we believe the client's condition poses a risk to themselves or others.

4. Included and Excluded Services

4.1 Typically Included

  • Accommodation as specified in the itinerary
  • Meals as indicated in the itinerary
  • Professional English-speaking guide
  • 4WD safari vehicle with pop-up roof
  • All park fees and government taxes
  • Game drives as specified
  • Airport transfers in Tanzania

4.2 Not Included

  • International flights to/from Tanzania
  • Visa fees
  • Travel insurance
  • Personal items and souvenirs
  • Alcoholic beverages (unless specified)
  • Tips and gratuities
  • Optional activities not mentioned in itinerary

5. Liability and Insurance

5.1 Limitation of Liability

Safari Soar acts as an agent for suppliers of transportation, accommodation, and other services. We are not liable for any injury, damage, loss, accident, delay, or irregularity caused by any supplier or circumstances beyond our control.

5.2 Insurance Requirements

Comprehensive travel insurance is mandatory for all clients. Your policy must cover medical expenses, emergency evacuation, trip cancellation, and personal belongings. Coverage should be valid for adventure/safari activities.

6. Force Majeure

Safari Soar shall not be liable for any failure to perform obligations due to circumstances beyond our reasonable control, including but not limited to: acts of God, war, terrorism, pandemic, government regulations, airline strikes, natural disasters, or any other force majeure events.

7. Changes and Modifications

7.1 Changes by Client

Changes to confirmed bookings may be possible subject to availability and may incur additional costs. Changes requested within 30 days of departure may not be possible.

7.2 Changes by Safari Soar

We reserve the right to make minor changes to itineraries due to operational requirements, safety concerns, or circumstances beyond our control. Significant changes will be communicated to clients as soon as possible.

8. Dispute Resolution

Any disputes arising from these terms and conditions shall be governed by Tanzanian law. We encourage clients to first contact us directly to resolve any issues. If resolution cannot be reached, disputes shall be subject to the jurisdiction of Tanzanian courts.
